HBL is looking for an Administrative Assistant – Operations who will play a key role in supporting a fast-paced office environment, ensuring smooth operations across departments. This individual must have a strong understanding of office procedures and demonstrate exceptional communication, problem-solving, and multitasking abilities.

Responsibilities:

  • Create, load, and maintain item codes across systems
  • Enter and upload item data and specifications into various platforms
  • Process, track, and review customer orders
  • Verify invoices and shipping receipts from factories
  • Create and maintain detailed Excel spreadsheets and reports
  • Respond to client inquiries regarding accounts or sales products
  • Provide support with project management and problem resolution
  • Collaborate with teams including marketing, R&D, warehouse, and customer service
  • Manage and maintain both internal and external client relations
  • Prepare and update key operational documents and reports
  • Support special projects and handle additional duties as needed

Skills:

  • Strong Knowledge of Microsoft Excel, Word, and Outlook
  • Excellent interpersonal and teamwork skills
  • Meticulous attention to detail
  • 10-key and accurate data entry proficiency
  • Basic understanding of accounting principles
  • Strong organizational, critical thinking, and problem-solving skills
  • Ability to manage multiple tasks and priorities efficiently
  • Self-motivated with the ability to work independently
  • Willingness to support different departments and wear multiple hats
  • Able to travel occasionally as needed
  • A proactive mindset with a willingness to contribute ideas to improve processes
  • Interest/experience in lighting a plus
