Supports the administration of varied scholarship and award programs for Boys Town graduates and alumni. Implements the policies and procedures regarding scholarships and awards.

MAJOR RESPONSIBILITIES & DUTIES:

Provides safe and effective services

  • Adheres to policies related to safety and boundaries with service recipients.

  • Attends safety and abuse risk management training as assigned.

  • Adheres to procedures related to managing high-risk activities and supervising service recipients.

  • Reports suspicious or inappropriate behaviors and policy violations.

  • Follows mandated abuse reporting requirements.

Coordinates scholarship and award data, monitors compliance with organizational guidelines, and facilitates award determinations

  • Assists with the overall application process. This includes notifying students when scholarships and awards are open for application, receiving and processing scholarship applications from students, maintaining Excel spreadsheets with applicant information, and sending award notices and regrets by letter and/or email.

  • Updates scholarship policies and procedures to ensure compliance with organizational standards.

  • Assists with dissemination of award amounts for scholarships based on annual funding. Scholarships include Recognition Awards (BT High School - $), Academic Scholarships (HC and Sites), Incentive Awards (HC and Sites), Support Awards and Trade/Vocation Assistance.

  • Verifies award correspondence and award amounts prior to student notification; monitors funds to ensure that funds are not over or under awarded.

  • Assists in developing scholarship publicity pieces, providing media releases, special interest stories, and award recognition to media.

  • Coordinates the scholarship appeals process, the renewal process, outside resources with financial aid packages, and maintenance of scholarship database and website.

  • Reviews and packages files according to organization policies; retrieves and re-files student files as needed.

  • Counsels students on budgeting, loan management, satisfactory academic progress, and other special circumstances.

  • Resolves student problems, seeking another authority as necessary; performs revisions per student request.

  • Identifies students that meet criteria for potential scholarship awards. This includes serving as the main point of contact for various experiential and professional funding programs.

  • Provides scholarship information to students, parents, and other clientele.

  • Supports the scholarship and awards review committee process. This includes scheduling meetings, preparing agendas, maintaining meeting notes, and ensuring compliance with internal, state, and federal policies and regulations.

  • Establishes systematic financial allocation total and by award, tracks over time and utilizes a data driven decision making process in the future.

  • Provides quality customer service.

  • Data tracking of academic scholarships and trade/vocation assistance, pro-active interventions with youth and success stories and mentoring of new generations.

  • Participates in various student activities; such as Life Skills Classes.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • High level of professionalism, customer service, and interpersonal skills.

  • Excellent critical thinking, attention to detail, and problem-solving skills.

  • Strong computer skills in Microsoft Office, including PowerPoint, Excel, and Word.

  • Ability to communicate at all levels within the organization and with external contacts in an articulate, professional manner while maintaining necessary degree of confidentiality.

  • Ability to work independently, meet deadlines, and multi-task while maintaining quality standards.

  • Confidence in managing multiple projects and activities.

  • Ability to represent Boys Town with a strong, student-centered ethic.

REQUIRED QUALIFICATIONS:

  • Bachelors degree in Human Services, finance or related field required.

  • Experience providing professional administrative support in a scholarship or financial aid capacity required.

  • Experience demonstrating an understanding of student recruitment, financial aid, academic advising or closely-related student services required.

  • Experience in Admissions or student recruitment in a higher education setting required.

  • Possess and maintain a valid drivers license with a good driving record required.

  • Pass an annual Motor Vehicle Registration (MVR) check required.

  • Meet auto insurance requirements established by Boys Town policy and/or State and Local laws required.

  • Other Duties: This job description incorporates the essential functions and duties required for this position. However, other duties may be required and assigned at times and as determined by a supervisor in order to meet the needs of the organization.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:

  • Position is relatively sedentary in a normal office administrative environment involving minimum exposure to physical risks. Will use office equipment such as a computer/laptop, monitor, keyboard, and a general workstation set-up.
